Handling your personal data

UP Events b.v. considers your privacy very important and will handle your personal data as safely as possible. UP Events b.v. will adhere to the privacy regulations.

UP Events b.v. records personal data in the context of its services. For example, when you participate in an event of activity, you subscribe to one of our newsletters, you download a whitepaper or if you indicate your interest in contacting UP Events b.v.  in another way. Health: if you inform us about your health with regards to the activities and/or dietary requirements, we will save this data and possibly pass it on to a supplier (such as a Caterer). If you inform us about this, please do so as anonymously as possible.

Purpose and on what basis we process personal data
UP Events b.v. processes personal data for the following purposes:

  • To be able to call or e-mail you if necessary, in order to be able to perform our services
  • Inform you about changes to our services and products
  • Sending our newsletter and/or advertising brochure
  • Registration, communication and promotion of our location and activities

Video & photo material
At the UP Events b.v. location video recording takes place by means of security cameras, for your own and our safety.

In addition, we make videos and photo material to be able to register our location and activities, show them to the public and promote them in online, print and outdoor communication channels. If we make these images (or have them made by a third party), we will inform you (or the contact person of your booking) about this and ask for consent. We treat this image material respectfully, responsibly and professionally. You have the right to view video of photo material on request or have it removed or deleted by us. How long we keep personal data
UP Events b.v. does not store personal data for longer than strictly necessary to achieve the purposes for which the data are collected or for as long as is necessary to comply with a legal obligation. Storage periods of UP Events b.v. are:

  • Tracking and commercial campaign cookies: 12 months
  • Details of paying customers: 5 years
  • Video & photo material: 5 years

Sharing personal data with third parties
UP Events b.v. does not sell personal data to third parties and only provides this if necessary for the implementation of our agreement with our customers or to comply with a legal obligation. On our website, our CMS system uses “Gravatar cookies”. Gravatar is a service of Automattic (the company behind WordPress). Gravatar stands for “Globally Recognized Avatar” and is a free service where you can link your email address to a specific avatar. That avatar or photo will then be placed next to your comments on blogs.

View, modify or delete data

You have the right to view, correct or delete your personal data. In addition, you have the right to withdraw any consent for data processing or to object to the processing of your personal data by UP Events b.v. and you have the right to data transferability. This means that you can submit a request to us, to send you your personal data that we hold in a computer file or to any other organization mentioned by you. You can send a request for access, correction, deletion, data transfer of your personal data or request for withdrawal of your consent or objection to the processing of your personal data to [email protected]. To ensure that this request has been done by you, we request that you send a copy of your proof of identity with the request. In this copy, make your photo, MRZ (machine readable zone, the strip with numbers at the bottom of the passport), passport number and Citizen service number (BSN) are unrecognizable. This is to protect your privacy. We will respond to your request as quickly as possible, but within four weeks. UP Events b.v. would also like to point out that you have the possibility to file a complaint with the national data protection authority, the Dutch Data Protection Authority.
