Handling your personal data

UP Events b.v. considers your privacy very important and will handle your personal data as safely as possible. UP Events b.v. will adhere to the privacy regulations.

UP Events b.v. records personal data in the context of its services. For example, when you participate in an event of activity, you subscribe to one of our newsletters, you download a whitepaper or if you indicate your interest in contacting UP Events b.v.  in another way. That may be personal data, but also data used by us for making analyzes about the use of our websites, such as the number of times our websites are visited and which pages are viewed.

If UP Events b.v. processes personal data on the basis of specific consent, UP Events b.v. will ask for your specific consent. You may always withdraw the consent, but the data that has been processed up to the moment of withdrawal will continue to be lawfully processed.

UP Events b.v. processes your personal data because you use our services and/or because you provide these to us yourself. Below you will find an overview of the personal data that we process:

UP Events b.v. may process the following special and/or sensitive personal data:
Health: if you inform us about your health with regards to the activities and/or dietary requirements, we will save this data and possibly pass it on to a supplier (such as a Caterer). If you inform us about this, please do so as anonymously as possible.

Purpose and on what basis we process personal data
UP Events b.v. processes personal data for the following purposes:

  • Handling a payment
  • To be able to call or e-mail you if necessary, in order to be able to perform our services
  • Inform you about changes to our services and products
  • Sending our newsletter and/or advertising brochure
  • Registration, communication and promotion of our location and activities
  • For marketing analysis or to show a suitable advertisement
  • UP Events b.v. analyzes behavior at an aggregated level on the websites in order to improve the websites and to adjust the range of products and services to the wishes and preferences of our target group
  • UP Events b.v. also processes personal data when we are legally obliged to do so, such as data that we need for our tax return

Video & photo material
At the UP Events b.v. location video recording takes place by means of security cameras, for your own and our safety.

In addition, we make videos and photo material to be able to register our location and activities, show them to the public and promote them in online, print and outdoor communication channels. If we make these images (or have them made by a third party), we will inform you (or the contact person of your booking) about this and ask for consent. We treat this image material respectfully, responsibly and professionally. You have the right to view video of photo material on request or have it removed or deleted by us. This can be done by contacting us via info@upevents.nl.

How long we keep personal data
UP Events b.v. does not store personal data for longer than strictly necessary to achieve the purposes for which the data are collected or for as long as is necessary to comply with a legal obligation. Storage periods of UP Events b.v. are:

  • Website cookies: 90 days
  • Tracking and commercial campaign cookies: 12 months
  • Details of paying customers: 5 years
  • Video & photo material: 5 years

Sharing personal data with third parties
UP Events b.v. does not sell personal data to third parties and only provides this if necessary for the implementation of our agreement with our customers or to comply with a legal obligation. We enter into a processing agreement with companies that process personal data on our behalf to ensure the same level of security and confidentiality. UP Events b.v. remains responsible for these processes.

Cookies, or similar techniques, that we use

UP Events b.v. uses functional, analytical and tracking cookies. A cookie is a small text file that is stored in the browser of your computer, tablet or smartphone when you visit this website. UP Events b.v. uses cookies for an optimal website experience, to analyze the use of our websites, to enable sharing of social media content and to show targeted advertisements (if applicable).

The technical cookies UP Events b.v. uses, ensure that the websites work properly and that, for example, your preferred settings stay set. These cookies are also used to optimize the websites. In addition, we place cookies that track surfing behavior so that we can improve our websites and possibly offer customized content and advertisements.

Cookies placed on our websites by third parties
These are, for example, cookies from social media channels. UP Events b.v. uses (if applicable) cookies to prevent you from seeing the same advertisement too often. In overview, we use:

  • Adform Tracking Pixel, cookie that measures origin via publishers’ websites, website visits and conversions
  • Social media tracking pixel, cookie that measures website visits to serve suitable advertisements via social media channels

Google Analytics
We use Google Analytics to keep track of how users utilize our websites. The information obtained, including the address of your computer (IP address), is transferred to and stored by Google on servers in the United States. Google uses this information to keep track of how our websites are used, to be able to provide us with reports about the website and to be able to offer its advertisers information about the effectiveness of their campaigns. Google may provide this information to third parties if Google is legally required to do so, or to the extent that such third parties process the information on Google’s behalf. We have no influence on this.

Facebook, Instagram and LinkedIn (social media)
Buttons are included on the website to promote or share pages on social networks. These buttons are realized by a code that is supplied by these platforms themselves. This code places a cookie, among other things. Please read the privacy statements of Facebook, Instagram and LinkedIn (which can change regularly) to see what they do with your personal data that they process with this code. This also applies to any other social media channel.

Gravatar
On our website, our CMS system uses “Gravatar cookies”. Gravatar is a service of Automattic (the company behind WordPress). Gravatar stands for “Globally Recognized Avatar” and is a free service where you can link your email address to a specific avatar. That avatar or photo will then be placed next to your comments on blogs.

View, modify or delete data

You have the right to view, correct or delete your personal data. In addition, you have the right to withdraw any consent for data processing or to object to the processing of your personal data by UP Events b.v. and you have the right to data transferability. This means that you can submit a request to us, to send you your personal data that we hold in a computer file or to any other organization mentioned by you. You can send a request for access, correction, deletion, data transfer of your personal data or request for withdrawal of your consent or objection to the processing of your personal data to info@upevents.nl. To ensure that this request has been done by you, we request that you send a copy of your proof of identity with the request. In this copy, make your photo, MRZ (machine readable zone, the strip with numbers at the bottom of the passport), passport number and Citizen service number (BSN) are unrecognizable. This is to protect your privacy. We will respond to your request as quickly as possible, but within four weeks. UP Events b.v. would also like to point out that you have the possibility to file a complaint with the national data protection authority, the Dutch Data Protection Authority.

UP Events b.v. takes the protection of personal data very seriously and undertakes the appropriate steps to prevent abuse, loss, unauthorized access, unwanted disclosure and unauthorized changes.
